UKG Pro

A UKG Pro payroll approval workflow your team controls

Nothing loads into UKG Pro until your team has seen the full picture and approved it. That is the design, not a setting.

By Dan Agarwal, founder·Updated

Nothing posts to UKG Pro until a person approves the pay group.

The approver sees reconciliation, held lines, and open exceptions first.

After approval, the load is read back to confirm it matches.

Payroll leaders often worry that automation means losing control: data moving into payroll that nobody looked at. The opposite should be true. The approval moment is when the most information is available, so that is where a person belongs.

PCLnXAI puts a human approval gate on every load. For each pay group and cycle, the approver sees what is about to post, what was held and why, the reconciliation and variance results, and any open exceptions, then approves or sends it back.

The human approval gate
  • Totals by location and code
  • Held lines with reasons
  • Leaver pay for review
  • Changes since last approval

Sign-off blocked while lines are undecided
  • Posted to UKG Pro
  • Read back and confirmed
  • Approval recorded
Approval happens at the point of maximum information. Rollout rehearses on your UKG Pro test tenant first.

What the approver sees

  • Totals by location and code, compared with the source and with the prior comparable cycle.
  • Held lines with their reasons, and any blocks still open.
  • Terminated-employee pay and other lines routed for individual review.
  • Changes since the last approval, if a file was revised or replaced.

Sign-off rules

Sign-off is blocked while lines are undecided. A lead can override with a written reason, and the reason is kept in the cycle record. Separation of duties is supported: the person who prepared or corrected the data can be prevented from approving the same load.

After approval, the load posts to UKG Pro and is read back to confirm it matches what was approved. If it does not, the difference is raised immediately.

Test first, production on approval

During rollout, loads rehearse against your UKG Pro test tenant. Production posting is switched on per pay group, only when your team is satisfied, and always remains behind approval.

How PCLnXAI handles approvals

Approval roles are configured with your team, using your single sign-on. Every approval, rejection, and override is recorded as part of the audit trail.

Frequently asked questions

Can anything post without approval?

No. Every load waits for a person to approve it.

Who can approve?

The roles your team defines, typically payroll analysts per pay group and a lead for overrides, signed in through your single sign-on.

Can an approval be reversed?

Before payroll takes the items, a load can be backed out precisely. The reversal and its reason are recorded.

Does approval slow the cycle down?

Usually the opposite. The approver has the reconciliation and explanations ready, so review takes less time than assembling the same picture by hand.
